How to Mark Appointments as Paid

Marking Individual Appointments as Paid

  • To mark an individual appointment as Paid, locate the calendar icon on the left side menu and select your preferred schedule view.

  • Select the appointment you need to mark as paid.

  • On the appointment details pop-up, scroll down to the 'Billing' section.

  • You can mark it as paid using the Billing actions button or the Mark as paid button next to the Total amount including the tip, as shown below:

  • If you accidentally marked an appointment as paid, go to the appointment's billing section and, on the Billing actions button, click Mark appointment as unpaid.


List View

Bulk-Marking Appointments as Paid

  • If you need to mark multiple appointments as paid, use the List View.

  • Locate the calendar icon on the left side menu and select 'List View'.

  • On the next page, click on 'Edit filters' right below the Appointments title.

  • On the 'Show' field, select only Unpaid appointments.

  • The filters allow you to select the time frame and even filter by customer's name, employee, and many other options.

  • Once you have set up the parameters to search the unpaid appointments, click the button and wait for the page to load the unpaid appointments.

  • To edit the filtered appointments in bulk, check at least one box for an appointment. This will update the button to .

  • Under the Bulk Actions button, you can select all the filtered appointments or manually mark the appointments you want to mark as paid.

  • Once you select the appointments, hit the Bulk Actions button again and click on Mark as: Paid.


Additional Notes

  • Marking an appointment as paid does not mean you are charging the card on file. Learn to charge a customer's credit card below.

  • Unlike manually marked-as-paid appointments, appointments paid by card cannot be marked as unpaid or edited, including changes to the total amount. For a solution, please follow this article:

  • An appointment will automatically be marked as paid once the client pays their invoice online or if you charge their card.

  • By marking appointments as Paid, you're also updating the customer's Revenue To Date and Unpaid Balance.
