How to Automate the Sending of Appointment Reminders

Accessing the Email & SMS Notification Settings

  • From your ZenMaid Dashboard, go to Settings, located on the bottom left-hand side of your ZenMaid account.

  • You will be redirected to Your Settings page, where you can find Email & SMS Notifications.


Customizing Appointment Reminder Templates

  • From the Email & SMS Notifications page, you can find Email and SMS templates for Appointment Reminders under Customer communications.

  • Select the appointment status for which you want reminders to be sent, including any custom appointment statuses you've created.

  • Choose the time of the day the Appointment Reminder should be sent.

  • Click "Save" once done.

  • You will notice the status of the reminders will reflect your selection, so you can quickly know at a glance when the reminders will be sent.

Important

  • There is no option for clients or cleaners to reply to text reminders.

  • If you manually send an email or text reminder before the scheduled automatic one, the automatic reminder will be skipped to prevent duplicate messages for the same appointment.

  • Currently, ZenMaid supports sending one text reminder and one email reminder per appointment, each with customizable timing. However, there is no option to schedule multiple reminders per channel (e.g., one 10 days before and another 3 days before the same appointment).

Example:

Monthly customers who are scheduled every fourth week would benefit from a reminder sent a week in advance, while weekly and biweekly customers are better served with a day-before reminder.
