How to Automate the Sending of Email/Text Appointment Reminders

  • From your ZenMaid Dashboard, go to Settings, located on the bottom left-hand side of your ZenMaid account

  • You will be redirected to Your Settings page, where you can find Email & SMS Notifications

  • From the Email & SMS Notifications page, you can find Email and SMS templates for Appointment Reminders under Customer communications

  • Identify which appointment status you want your Text Appointment Reminders sent (This includes any custom appointment statuses you have created)

  • Choose the desired time of the day the Appointment Reminder should be sent

  • Click "Save" once done.

  • You will notice the status of the reminders will reflect your selection, so you can quickly know at a glance when the reminders will be sent

Manually Sending Reminders

You might want to manually send an email/text reminder to a specific customer; you can do so through the appointment sidebar

  • In the schedule view of your choice, click on the appointment.

  • Under the Actions button, you will see the options Send Text and Send Email

  • For each action, there will be a dropdown of templates to choose from. The Appointment Reminder is there.

  • If you send out the email/text reminder manually before the automatic template is scheduled; the customer will not receive the automatic communication (So as to not receive a duplicate reminder for the same appointment)

Another option is slating your existing clients with the option of mobile or mobile (do not text). Then you can use the feature of automatic text reminders to the clients who do want a reminder.  Plus, it will generate for recurring. 

Addendum:

  • You can prevent specific customers from receiving automatic emails or texts. You need to go to the customer's profile, and under the Edit page, you need to select Mobile (Don't text) and uncheck Send automated emails to this address?

  • Currently, a ZenMaid customer can send 1 text reminder and 1 email reminder with varying timings.  There is no feature of double texting (one 10 days before the appointment, and another 3 days before the appointment)

  • The reminder time can not be customized per the customer's recurring service.

Example: on every fourth week, monthly customers would benefit from a reminder a week out. OR  A weekly and biweekly customer, to get a day-before reminder.

  • There is not an option for clients or cleaners to reply to text reminders.
