How To Manage Cleaning Teams

Create a team, assign a team, add a new cleaner to the team

In this article, we will show you the whole process of managing cleaning teams.

From creating a cleaning team, how to assign a team for cleanings, and how to add a new cleaner to the already existing cleaning team.

Let's start with creating a cleaning team:

  • From your ZenMaid dashboard, go to Settings ➡️ Cleaners ➡️ General.

  • If you don't have any teams yet, you may click on the + Add Team button to add one.

  • Once clicked, a team will be created.

  • You can name the team.

  • Then select the cleaners. NOTE: Teams can have just one cleaner or multiple.

  • Don't forget to click the Save Changes button at the bottom.

How to assign a team (or cleaner/s) to the cleaning.

  • From your ZenMaid calendar, click on the appointment you want to assign a cleaner/team or create a new appointment.

  • On the appointment window, click the Assign button.

  • A window will pop up and it will show all your cleaners and teams just like the photo below.

  • You can select a team and add another cleaner aside from the team or just simply select cleaners individually and click “Assign Cleaners”.

  • If you're creating a new appointment, don't forget to click the "Save Appointment" button!

Tips:

  • To be able to assign 2 staff to a single house, with different start or finish times for each staff, create 2 separate appointments to have them show up at different times.

  • To avoid sending a 2nd appointment reminder to the customer, you can use another status for the 2nd appointment. Just make sure that you set up this status correctly such as make sure the following is ticked:

show by default in the calendar

include in payroll

put in the work order

use to calculate scheduling conflicts

If you are having a new cleaner joining to already existing team, here is how you can add that one cleaner to show on existing appointments.

  • Find the appointments of the team you want to add cleaner to. You can use filters on the Calendar view to show just the appointments of that team.

  • Click on the appointment of the team and in the appointment pop-up click on the Assign button.

  • This will open a new pop-up window where you can choose which cleaner you want to assign to this team by checking the box next to the cleaner's name.

  • When cleaner/s are chosen, if you want to add them to all future appointments to work with the already existing team, check the box on the bottom of the pop-up window that says "assign selected cleaners to all future appointments in this recurring service".

  • Do not forget to click on the button Assign Cleaners.
