Understanding Customer Statuses and How to Change Them

Summary:

  • ZenMaid offers a customer classification/status.

  • This process lets you know the 4 types of customer statuses that are in ZenMaid and how you can change them accordingly.


1 - Types of Customer Statuses

  • A newly entered customer will be identified as a Lead.

  • A Lead indicates any customer without an appointment on the calendar.

  • How it looks from the customer profile:

  • A contact labeled as a One-Time Customer has only one appointment on the calendar and did not sign up for a recurring service.

  • Any customer with a One-Time status has had service in the past or has a service scheduled in the future.

Side note:

  • A service address is needed to schedule an appointment.

  • A contact labeled as a Recurring Customer has a recurring service scheduled on your calendar, indicating they have a recurring service with at least one future appointment.

  • A contact labeled as Former Customer is a customer who hasn't had any appointments with you for at least 6 weeks. This indicates a customer who previously had a recurring service with at least one past appointment but none scheduled in the future.

Changing Customer Status

  • Follow the instructions below:

  1. From your ZenMaid Dashboard, go to Contacts > All Contacts.

  2. Use the search bar to find the customer you want to edit.

  3. On the customer's profile, click the Actions button, then select Edit.

  4. Scroll down to the bottom of the page.

  5. Below the Notes & Other Information section, you will see the Customer history field.

  6. Click the drop-down menu to view and select from the available options.

Side note:

  • "We never cleaned for this customer" will remain the customer profile as a Lead.

  • "We cleaned for this customer but they were not on a recurring service" will change the customer's type from Lead to One-Time Customer.

  • "This is a current recurring customer" will mark the customer profile as a Former Customer. Only after scheduling a recurring appointment for this customer on your calendar will they be sorted as a Recurring Customer.

  • "This is a former recurring customer" will also make the customer profile a Former Customer.


Additional Information:

Changing from Lead to One Time Customer or Recurring

  • This is automatic when an appointment is booked.

  • The Customer Status will show either a Recurring or a One-Time Customer for all future appointments.

  • If the customer has appointments in the past but has no future bookings, they will appear as a Former Customer.

  • If they have never had an appointment they will remain as Lead.
