How the Automatic Estimate Amount Owed Feature Works

Summary

  • Work items and Man hours can be automatically calculated in appointments by using Job Estimations.


Accessing The Job Estimation and Work Items Page

  • To use this feature, go to Settings , and under Scheduling select Job estimation and work items.


Turning Automatic Estimate Amount Owed Feature On/Off

Important:

  • Note that using the Copy to all future services button under More under the Billing section will override the Automatically Estimate Amount Owed feature.

  • To learn more about the "Copy to all future services" feature:

  • To enable automatic job costing for every appointment, check the box:
    “Automatically estimate job cost for scheduled appointments by default.”

  • Auto-Calculate ON:
    ZenMaid fills in the Price (before tax) automatically using work items and/or man-hour rates.


  • To prevent the system from automatically calculating the amount due, leave this box unchecked.

  • Auto-Calculate OFF:
    The amount will stay blank until you enter it manually.

Side Note:

1. You’ll still see the Automatically Estimate Amount Owed option under the Billing section when editing an appointment. If you want manual control on a single appointment, simply uncheck the box inside that appointment’s Billing section.


Utilizing Work Items

  • Job Estimation allows you to create work items and assign a price to each service.

  • These work items can also act as a checklist for cleaners (they’ll see the tasks without seeing prices).

  • When selected in an appointment, the amount owed updates automatically (if auto-calculate is enabled).


Charging Customers By the Hour

  • There is also a default Man Hour cost feature if you charge appointments by the hour. Once you’ve entered each cleaner’s pay rate and set a price in the Man Hour section, it should match what you enter in the Job Estimations Man Hour section.

For example, when entering a cleaner, in the pay rate section, you enter $12/hour and $40 per man-hour.

  • Ensure that your cleaner profiles have a Man Hour cost set. Then, when you create an appointment and assign cleaners:

1. The job cost is automatically calculated based on man-hours.

2. Work items can still be added on top of hourly pricing.

Side Note:

  • Man-hours = total cleaning time regardless of the number of cleaners.

  • Example: 8 hours with 2 cleaners = 4 scheduled hours, but 8 man-hours billed.
