Summary:
Your account comes with default appointment status but you can add new ones.
Here's how you can create and customize your appointment status in ZenMaid.
Changing appointment statuses
Go to any Scheduling View.
Click on the appointment you want to change the status of.
You will see a drop-down with all the statuses you can change.
Adding/Customizing Appointment Statuses
Go to Settings and find Appointment statuses under Scheduling.
On the next page, you will see a list of all the default Appointment Statuses.
You can add more statuses by clicking on + New status or you can delete the ones that you don't use using the trash can icon.
Side Note:
Default appointment status can't be renamed or deleted.
Below is a list of default Appointment Statuses and their intended purpose.
Active - Upcoming or ongoing appointments. Make sure to place Active on top to make it the default status of new appointments in calendar settings.
Skipped - Client-initiated. The client calls the office to skip the appointment.
Stand-by - The appointment is pending confirmation with the maid service and customer. The Stand-by status can be used a few ways and you can always change its name to something that suits you better like "Pending" or "Waiting for response".
Canceled - Indicates when a customer has canceled their appointment or when an event has prevented the appointment from being serviced.
Completed - Indicates that the appointment has been successfully finished and all scheduled services have been provided.
Examples of the Stand-By status:
Appointments are added after an estimate has been sent to a customer.
Purchases of cleanings as a gift where the buyer is waiting to confirm date/time.
Holding a spot when a customer uses the calendar widget on the booking form.
Here is a list of Appointment Statuses maid services use:
Bump - Maid-service-initiated. The maid service cancels the appointment because the maid service can't get anyone out to clean. Tagging an appointment as Bump is helpful when you don't want to bump the same clients multiple times in a row.
Late Checkout - Usually used for clients with Airbnbs. The customer will be checking out late so the cleaner can arrive later than expected.
Skipped (but still paying) - Generous clients who skipped the appointments but are still paying your fees. Usually, it's because they want to keep you in business.
Changing the settings for appointment statuses
Each appointment status can be customized with different behaviors
To select the settings of each Appointment Status, click the circled + sign to reveal the settings options
Show by Default in Calendar lets you see appointments with this status on your calendar. If unticked, you will need to select this appointment status in the Filters option in the calendar to be able to see it in the calendar.
Put in Work Order includes appointments tagged with this status in your work orders.
Use to Calculate Scheduling Conflicts will warn you if a cleaner being assigned to a new appointment conflicts with an existing appointment with this status. This is particularly useful to use with the Spot Finder feature.
Include in Payroll will add all appointments with this status into your payroll. It is used for appointments that your cleaners will get paid for.
Include in Revenue Reports will account for all appointments with this status in your revenue report.
Triggers late clock in/out warning will send notifications to your cleaners in case they haven't clocked in/out to the appointments with this status.
Once you're done, click Save Changes.
Note:
You can change the default order of your appointment statuses simply by dragging and dropping each appointment status in the order you want.
