Preparing for Tips Setup

  • Before you can utilize the Tips feature in ZenMaid, you'll need to configure your credit card processor. If you haven't done so already, follow this step-by-step guide to connect a credit card processor to ZenMaid:


Getting Started with Tips and Automated Settings

Important:

  • Cleaners are only notified of a tip if it's paid through the tipping feature.

  • Tips entered manually by the office or through the invoicing feature do not trigger any notifications.

Step 1: To begin, turn on the Enable Tips Request toggle


Step 2: Configure How You Collect Tips Automatically

  • To customize how these requests are sent, click Edit next to either SMS or Email. Note that both methods are currently disabled and must be enabled to start sending requests.


Step 3: Collect Tips During Invoice Payment

  • Make sure the During invoice payment toggle is turned on.

  • This prompts customers to leave a tip while paying their invoice online. If a tip has already been collected, the prompt is skipped.


Step 4: Add a Tip Payment Link to Emails or Texts

  • To manually include a tip payment link in your communications, insert the wildcard {{appointment.tip_payment_url}} In any SMS or email.

  • Click the link here, Email & SMS communications settings, to edit your message templates.


Step 5: Notify Cleaners When They Receive a Tip Automatically

  • Under Notify your cleaners, click Edit to enable Automatic SMS or push notifications.

  • This lets your cleaners know when they receive a tip, as long as they’re using the app.


Step 6: Send Thank-You Messages to Customers Automatically

  • In the Thank your customers section, an automatic thank-you message is sent 3 hours after a tip is received.

  • To enable or edit these messages via SMS or email, click Edit and configure your preferences.


Manually Using the Tips Feature

Imporant

  • To send the request, you must have at least one email address or phone number on file.

  • If either field shows “No email addresses on file” or “No phone numbers on file,” click “Add phone number in the contact profile” to update the client’s contact information.

  • Go to any scheduled or completed appointment.

  • Scroll to the Billing section. You’ll see a new Tips collected row.

  • Click on the Tips collection feature.

  • From here, you can:

  1. Manually send a tip request.

  2. Edit the amount collected (for example, if a customer paid a tip in cash).

  3. View the Total including tip, which combines the service price and the tip amount.

  • If you choose to manually send a tip request, you can review and customize your message for email and SMS.

  • ZenMaid will automatically populate the customer's email or phone number if available.

  • You can manually edit the subject line and message body to match your tone.

  • Both messages include a link for the customer to leave a tip.


Additional Information:

  • The tip payment link included in the message is tied to that specific appointment and client. It tracks tips accordingly.

  • If the link is cut off in an SMS, it will not work properly. Make sure the message contains enough characters to include the full URL.
