How Automatically Estimate Amount Owed Works

Work items and Man hours can be automatically calculated in appointments by using Job Estimations.

  • When you create a new appointment, scroll down to the Billing section where you will see a field that says β€œAutomatically estimate amount owed”

  • To use this feature, go to Settings (Gear icon on the bottom left corner), and under Scheduling select Job estimation and work items.

Work Items

  • Job estimation allows you to input work items and put a price on them. Work items may also act as a checklist for your cleaners as they will see what specifics they need to focus on without seeing pricing.

Charging Customers By the Hour

  • There is also a default Man Hour cost feature if you charge appointments by the hour. Once all of your cleaners' pay rate is entered and the Man Hour section has a price, it should be the same as what you will enter here in the Job Estimations Man Hour section.

    For example, when entering a cleaner, in the pay rate section, you enter $12/hour and $40 per man-hour.

  • Now in Job Estimations, enter $40 again.

  • When you create an appointment and assign a cleaner, this will automatically calculate the job cost for scheduled appointments. You can still use the work items here too as they add on top of hourly pricing.

  • Check the box saying Automatically estimate job cost for scheduled appointments by default if you want the amount auto-calculated every time you create a new appointment.

  • If you do not want the appointments to always auto-populate prices, you can leave the box checked off since you will have a box to calculate your appointments in each appointment too.

  • Note that using the Copy to all future services button under More under the Billing section will override the Automatically Estimate Amount Owed feature.

  • When done, scroll down and click β€œSave Changes”

Important Tips & Notes:

MAN HOURS

  • This is the hourly charge you would make to your customers - for example, $45.

  • This would be based on the full time to clean regardless of how many cleaners. i.e.: 8 hour clean with 2 cleaners would be booked for 4 hours but the man-hours are still 8.

  • If you charge different Man Hour rates, you can adjust each appointment.

  • The man-hour cost is different from what you pay your cleaner.

  • In ZenMaid you have 4 pay types option for your cleaners:

    -Per hour

    -Percentage Rate

    -Fixed Flat Rate

    -Variable Fixed Rate
