Adding a New Cleaner
Hover over the Cleaners icon on the left side of the screen and click Add new cleaner.
Enter the cleaner's first name, last name, phone number, and email. The cleaner role will only be able to see the schedule they are assigned to, whereas the office manager role can see all the appointments.

If the cleaner is a contractor, check the box that says Is this cleaner a contractor?
In order to let the cleaners log their time in the system, check the box that says Allow this cleaner to log their time in the system? which allows the cleaner to clock their time on the mobile app.
Select the cleaner's calendar color and language. The mobile app will be translated into the language selected, except for customer notes. You will need to add the customer notes in the alternative language for the translation.
Under Pay Rate and Job Estimation, you can choose what pay type this cleaner has and input the cost. There are Hourly, Revenue Share, Flat Rate, and Variable Rate. The Man Hour Cost is what you charge your customers if you charge customers by the hour.
The Notes and Other information lets you enter the cleaner's birthday, notes, and any custom fields you may need (SSN, Alternative phone number, etc).

Add the cleaner's address.
Click Save Changes.
Granting Cleaner Access
Using The Notify My Cleaner! Prompt
To give a cleaner access to the ZenMaid mobile app:
1. Check the box labeled Allow this cleaner to sign in using their email and view their schedule?
2. Create a password for them. This will be their login credential.
After completing these steps, a pop-up will appear asking if you'd like ZenMaid to notify the cleaner that access has been granted. If you click "Notify My Cleaner!", ZenMaid will send them an email introducing the app, including download links for both iPhone and Android.
The email also informs the cleaner that your maid service is now using ZenMaid. It does not include their password and instructs them to contact you to receive it.
Manually sending login Info
If you prefer to notify your cleaners directly, you can resend their login information at any time. Just go to the Actions button next to their profile and click "Resend login info."
Your cleaners will log in using the email address saved in their profile and the password you created for them during setup.
Additional Information & Troubleshooting
If the cleaner does not see the clock-in/out buttons on their mobile app, have the staff member log out of the ZenMaid app, close the app from running (do not delete the app), and launch the app fresh to log back in.
To do so, have them click More (...) then Profile in the app. At the top right will be the Log out button. Close the ZenMaid App by swiping up (or clicking the menu to close the app), reopen it, and log back in to get the latest update.
If you see the error message "Email has already been taken" when creating a cleaner, it means the cleaner may have accidentally created their account instead of logging in with the credentials you provided, or they may have previously worked for another company that also uses ZenMaid.
To quickly resolve this, you can either contact support@zenmaid.com for assistance or create the cleaner profile using a temporary variation of their email address. For example, by adding "+1" (e.g., name+1@email.com). Most email providers, like Gmail, recognize this as the same address, so the cleaner will still receive all email notifications without issue.
