Here are different types of notes you could create in ZenMaid and how you can add, edit, or even delete them.

Customer Public Note

  • Any notes about the customer.
  • Using the correct wildcard, you can attach this note to appear on your work orders sent to your cleaners.
  • Sample customer note:

"While Rachel is the homeowner, Robin is paying for her cleans so all billing issues need to be addressed with Robin at: 555-555-5555."

How to add, edit, or delete a customer public note?

  • From your ZenMaid dashboard, go to Contacts > All Contacts.
  • Search for the customer you wish to add, edit, or delete a note for using the search bar.
  • Click on the customer's name on the search result.
  • On your customer's profile page, scroll down until the Notes section.
  • To view existing public note about this customer, find the field labeled as Public Notes under this section.
  • Go back to the top of the current page and click on the Actions button, then Edit.
  • On the next page, scroll to the bottom and click the Notes & Other Information tab to expand.
  • Fill out within the Public Notes field and don't forget to hit Save to save your additions, edits, or deletions.

Customer Private Note

  • Any note about your customer that you wish to hide from employees.
  • Note that, just like owner access, office managers can also view and edit your customer private notes.
  • Sample customer private note:

"We can never send Olivia to this job or she will fire us on the spot."

How to add, edit, or delete a customer private note?

  • From your ZenMaid dashboard, go to Contacts > All Contacts.
  • Search for the customer you wish to add, edit, or delete a note for using the search bar.
  • Click on the customer's name on the search result.
  • On your customer's profile page, scroll down until the Notes section.
  • To view existing public note about this customer, find the field labeled as Private Notes under this section then click on the See the notes button.
  • Clicking the See the notes button will launch a pop up window to your right.
  • You will see the private notes, if there are any, in this window as itemized items. You will also be able to see immediately the date and time they were added.
  • Click the edit icon (📝) beside an existing private note to edit.
  • Click the red delete icon beside the edit icon to delete the note.
  • To add a new one, simply type in within the Add a note... field and hit the Add Note button.

Appointment Notes

  • Any note that says something about the appointment.
  • Sample appointment note:

"Please clean the inside of both the oven and refrigerator on this visit."

How to add, edit, or delete an appointment note?

  • From your ZenMaid dashboard, go to Scheduling > Calendar View (or any view).
  • Click on the appointment add, edit, or delete a note for.
  • Scroll down to the bottom of the pop up appointment window and you will see the Notes section where you can see existing appointment notes.
  • To add, edit, or delete an appointment note for one-time service / specific service of a recurring series, scroll back up and click on Actions > Edit this appointment.
  • Once the appointment window turns into edit mode, scroll down to the bottom again and make your additions, changes, or deletions under the Notes section.
  • To add, edit, or delete an appointment note for all appointments in a recurring series, scroll back up (make sure you selected a recurring schedule) and click on Actions > Manage Recurring Service.
  • Locate the Default Appointment Information section and click on Change Work items, custom fields, & notes.. button.
  • Apply your amendments on the Notes section under Step 1.
  • On Step 2, select the date you want to start applying your changes then click the Change service details for the cleanings selected button.
