How to Add Staff Members and Give Them Access to ZenMaid

Give cleaners/office managers access to their schedule, the mobile app, clock in/out buttons, and set their pay rates.

Steps on How to Create a New Cleaner

  1. Hover over the Cleaners icon on the left side of the screen and click “Add new cleaner”

  2. Enter the cleaner's first name, last name, phone number, and email. The cleaner role will only be able to see the schedule they are assigned to, whereas the office manager role can see all the appointments.

    • To allow the cleaner to sign in to their account and access the mobile app, check the box that says Allow this cleaner to sign in using their email and view their schedule? and create a password for them.

    • If you need to create an Office Manager, you will have this option after as there will be a box to click to note the cleaner has an office manager status. For more on office managers, this article will help you with their specific settings.

    • If the cleaner is a contractor, there will be a box to click to note the cleaner has a contractor status.

    • In order to let the cleaners log their time in the system, check the box that says Allow this cleaner to log their time in the system? which allows the cleaner to clock their time on the mobile app.

  3. Select the cleaner's calendar color and language. The mobile app will be translated into the language selected except for customer notes. You will need to add the customer notes in the alternative language for the translation.

  4. Have your cleaners download the ZenMaid mobile app to their phones. You will provide them with the login details and passwords that you entered into the system. When they download the app, on the pop-ups that ask about location and notifications, please be sure they click 'Allow Always' and 'Yes'.

    Click on this link to view a video tutorial showing how to use the mobile app, which you can send to your cleaners. This video has a slightly different mobile interface, but the main parts are the same.

  5. Under Pay Rate and Job Estimation, you can choose what pay type this cleaner has and input the cost. There is Hourly, Revenue Share, Flat Rate, and Variable Rate. The Man Hour Cost is what you charge your customers - if you charge customers by the hour.

  6. The notes and custom fields let you enter the cleaner's birthday, notes, and any custom fields you may need (SSN, Alternative phone number, etc). 7. And the cleaner's address

8. After all fields are filled in, click ‘Save Changes”

9. You will be redirected to the page for that cleaner, where you can edit and delete or inactivate the cleaner using the Actions button.

Things to note:

If you select a color for your cleaner, the color chosen on the appointment relates to the date on which the cleaner was created in ZenMaid. This means that the newest cleaner's color will only show if they are the only assigned cleaner or they are newer than the other cleaner(s) assigned.
